Introduction

Rocky Ridge Ranch is committed to protecting the personal information which it collects.

This Privacy Policy describes the types of personal information which Rocky Ridge Ranch collects, how Rocky Ridge Ranch protects that information and the privacy of the individuals to which it relates, how Rocky Ridge Ranch uses that information and when Rocky Ridge Ranch may disclose that information.

When collecting personal information relating to an individual who is an adult (18 years of age or over), Rocky Ridge Ranch will seek that individual’s consent to the collection as well as the use and disclosure of it in accordance with this Privacy Policy.

When collecting personal information related to an individual who is under the age of 18, Rocky Ridge Ranch will seek his or her guardian’s consent to the collection as well as the use and disclosure of it in accordance with this Privacy Policy.

Collection

Relating to the Camps

Rocky Ridge Ranch may collect the following types of personal information relating to individuals enrolled in any camp or other program offered by Rocky Ridge Ranch and guests who stay at Rocky Ridge Ranch:

contact information such as name, address, telephone number and e-mail address;
contact information for a parent or guardian if the individual is under 18 years of age;
contact information for a person to be notified in case of emergency;
camp or program applied for;
if applicable, billing, banking and other financial information required to process payment for the camp or program;
personal preferences relating to the activities of Rocky Ridge Ranch;
enrolment history in camps or other programs offered by Rocky Ridge Ranch;
other personal information which a reasonable person would consider ancillary to the types of information set out above.

This information is used by Rocky Ridge Ranch for the following purposes and for other purposes reasonably ancillary to them:

to operate its camps and other programs;
to meet legal and regulatory requirements;
to assist in the development of new camps and other programs;
to fundraise; and
to keep interested individuals up-to-date on the activities of Rocky Ridge Ranch (including camps, other programs, events, funding needs and opportunities to volunteer or donate).

Rocky Ridge Ranch also collects certain personal health information about individuals who apply for admission to or to volunteer at any camp operated by Rocky Ridge Ranch for the following purposes:

to identify and where possible address any hazards that the Rocky Ridge Ranch environment may pose for such an individual;
to understand the extent to which such an individual may require health care while staying at Rocky Ridge Ranch; or
to obtain health care for a camper or a camp volunteer.

With respect to any individual who applies to be a camp volunteer, Rocky Ridge Ranch may also collect information about the individual’s past conduct for the purpose of evaluating whether or not the individual should be placed in a position of trust.

Relating to Donors, Volunteers and Friends

With respect to volunteers, donors, attendees at Rocky Ridge Ranch events (including fundraisers) and other individuals who wish to find out more about Rocky Ridge Ranch, Rocky Ridge Ranch collects the following types of personal information:

contact information such as name, address, telephone number and e-mail address;
if applicable, donation information such as date of gift, amount of gift, the names of all donors associated with the gift and if the gift was in response to a certain fundraising effort;
if applicable, billing, banking and other financial information required to process gift or pay for an event or camp program;
if applicable, history as a volunteer for Rocky Ridge Ranch;
history of attendance at Rocky Ridge Ranch events (including fundraisers);
personal preferences relating to the activities of Rocky Ridge Ranch; and
other personal information which a reasonable person would consider ancillary to the types of information set out above.

This information is used by Rocky Ridge Ranch for the following purposes and for other purposes reasonably ancillary to them:

to meet legal and regulatory requirements;
to fundraise;
to market camps and other programs; and
to keep interested individuals up-to-date on the activities of Rocky Ridge Ranch (including camps, other programs, events, funding needs and opportunities to volunteer or donate).

Relating to the Website

Rocky Ridge Ranch does not use its website to collect personal information. Neither cookies nor tags (transparent .GIF files) are used.

Retention and Destruction

Rocky Ridge Ranch keeps personal information only for as long as the personal information is required for the purposes for which it was collected. Consequently, there is no single retention period applicable to all instances of personal information collected by Rocky Ridge Ranch.

When any personal information is no longer required by Rocky Ridge Ranch for the purposes for which it was collected, Rocky Ridge Ranch destroys the personal information in a manner which takes into account the sensitivity of that information.

Disclosure

Rocky Ridge Ranch may share personal information which it has collected with its employees and volunteers who need to use that information in connection with one or more of the purposes for which that personal information was collected.

From time to time, Rocky Ridge Ranch may engage service providers to provide certain limited services such as the processing and delivering of mailings, soliciting donations or processing transactions. Rocky Ridge Ranch will only provide those service providers with the personal information they need to deliver the service for which they were retained. Rocky Ridge Ranch will also require those companies, through contractual means, to safeguard such information, maintain its confidentiality and not to use that information for any purpose other than providing the services for which they were retained.

Rocky Ridge Ranch may access and/or disclose any personal information which it has collected if required or permitted to do so by law (for example, in order to comply with a legal requirement including but not limited to one imposed by a warrant, subpoena, court order or like instrument served on Rocky Ridge Ranch or in urgent circumstances to protect the life, health or security of any person).

Safeguards

Rocky Ridge Ranch uses physical, organizational and technological safeguards to protect personal information in its possession. For example, physical documents which contain personal information are stored in cabinets or rooms to which access is restricted by locks and other means. Only a few staff members and volunteers have access to such cabinets or rooms. Computers on which any personal information is stored are password protected and located in controlled areas.

Changes to this Policy

Rocky Ridge Ranch will occasionally update or change this Privacy Policy. When Rocky Ridge Ranch makes any change to this Privacy Policy, an updated copy will be posted to its website and the word "updated" will appear next to the link to this Privacy Policy on the introductory page of the website for a period of at least thirty (30) days from the change. The date that this Privacy Policy was last updated will appear at the top of the copy posted on the website.
